Email templates
Save emails you send often, with personal fields that fill in for each person.
A template is an email you write once and send again. A welcome note, a price list, a monthly roundup of your posts. Each one holds a subject and a body, and it can greet every person by name when it goes out.
Templates come with every paid plan. The free plugin doesn't include them.
Make a template
- Open PressedMail and pick Templates in the top navigation.
- Press New template.
- Give it a name. A category is optional and helps once the list grows.
- Write the subject and body in the same editor you use for email.
- Press Save.
You can keep up to 500 templates. Open one from the list to change it, or delete it from there.
Personal fields
Press Insert field to drop a field into the subject or body. It shows up as a chip, and PressedMail swaps in the real value when the email is sent. Nine fields are available:
- First name, last name, full name, email and company, from the contact card
- Your name and your email, from the sending mailbox
- Site name
- Today's date
Every field can have a fallback, the text used when the value is empty. Give First name the fallback "there" and "Hi [First name]" reads "Hi there" for a contact with no first name.
Fields are filled in at the moment the email actually leaves, so a scheduled send or an Undo Send delay uses the contact's details as they are then.
Buttons, posts and an unsubscribe link
Templates get three extra blocks:
- Button: a link styled as a button, with your own label and colours. The link has to start with
https://,http://ormailto:. - Posts: a list or grid of posts from your site. Pick the latest posts, posts from one category, or hand-picked ones, up to 12, with or without featured images. The posts are read when the email is sent, so a saved roundup always carries your newest posts.
- Unsubscribe link: turns into a personal unsubscribe link when you send to a contact list. In a one-to-one email it is left out. How those links work is covered in Signup forms and unsubscribe links.
Use a template
In the composer, open Template... and pick one. The body lands where your cursor is, and the subject fills in if the email doesn't have one yet. The fields stay as chips in your draft until you send.
Send to a contact list
When an email uses personal fields or an unsubscribe link and you send it to a contact list, every person on the list gets their own copy with their own details filled in. Nobody sees anyone else's address. The usual limit still applies: up to 100 people per send across all the lists you pick.
Preview before you send
Open Preview while editing a template. Pick a contact and you'll see the subject and body with their fields filled in and your posts loaded, worked out by the same code that runs when you send. Leave the contact empty to see how the fields fall back.
If your license lapses
The Templates page stays open in read-only mode, so you can still see and delete what you saved. Inserting templates and filling in fields need an active paid license. Your drafts are safe either way: the fields are stored as plain text, so nothing gets mangled.
Good to know
- Templates are private to the person who made them.
- Send limits and spam rules still come from your email provider. A long list sent from a personal mailbox can hit your provider's daily cap.
