Email Workflows
Learn the core inbox, sending, productivity, contact, calendar, and AI workflows in PressedMail.
Rules watch your mail and act on it (filing, marking, archiving, and cleaning up), so the repetitive decisions happen once, in Settings → Email Rules, instead of every morning by hand.

What a rule matches
- Free conditions cover sender, recipient, subject, and body. The automatic matcher does not evaluate body conditions, so use sender, recipient, or subject for rules that must run on arrival.
- Paid rules add Cc, Bcc, attachment, size, and date fields, plus regular expressions. The automatic matcher does not evaluate size conditions.
- Free rules combine conditions with AND. OR logic is paid.
- Scope a rule to one account or to all of them.
What a rule does
- Free automatic actions include move to a folder, trash, archive, delete, mark as read, and always mark as spam. Paid rules also add star and mark important. The automatic matcher does not execute add-label, forward, skip-inbox, or never-spam actions.
- Rules run in the order you set. Stopping after a match is a paid control.
- Cleanup sweeps move everything a sender has ever sent in one action and can leave a standing rule behind for the future.
Schedule, snooze, and follow-up are one mechanism seen from three angles.
When Rules Run
- On arrival, as mail syncs in.
- On a per-rule schedule, from every fifteen minutes to once a day.
- In the background on WP-Cron. No one needs to be logged in.
Preview before you commit
The dry run evaluates a rule against your real mailbox and lists exactly which messages would match, batched at 200 and resumable, so you see the blast radius before switching a rule on.
Plan Availability
Free includes the limited fields, AND matching, and supported automatic actions described above. Paid plans add advanced fields, regular expressions, OR logic, stop processing, and advanced actions. Follow-up reminders and AI auto-tagging are separate paid features.
